Special Announcement: System Maintenance To Be Undertaken at 6:00 p.m. CPT to Resolve E-Signature Process Issue

At approximately 1:30 p.m. CPT today, the Program Administrator became aware that last night’s scheduled Portal software release resulted in an issue affecting the Disclosure Form e-signature process, whereby signed/completed Disclosure Forms are correctly promoted to Completed status in the portal, but due to a file naming issue, subsequently submitted Disclosure Form PDFs are writing over previous files. There is no loss of data in the portal, as the PDFs themselves are all saved in HelloSign, but at present the PDFs generated at the end of the e-sign workflow are not being uploaded to the correct portal location to be accessed by users.

The Program Administrator is underway downloading the affected e-signed Disclosure Forms and uploading them to the correct Portal location, and the Program Administrator is continuing to monitor DF submissions. No action will be required on the part of portal users. The Program Administrator has developed a solution, and in order to deploy it, the portal will be moved into maintenance mode at 6:00 p.m. A maintenance window of up to two hours until 8:00 p.m. CPT is scheduled, during which time the Program portal will be unavailable to users. Any users working in the portal should save their work prior to the start of the system maintenance period. Should the maintenance window extend beyond 8:00 p.m. CPT, a notice will be sent to users when system access has been restored. We appreciate the understanding of stakeholders.
